Booth Details

Booth assignments are made on a first-come, first-served basis, by the date a request is received, IIAH membership status, the availability of the requested area, the amount of space requested, and any special needs and compatibility of exhibitors. IIAH reserves the right to rearrange the floor plan and may relocate the exhibit. IIAH Elite Titanium, Platinum Partners for Excellence, Gold Patron, Platinum, and Exclusive sponsors (with booth purchase sponsors) have priority placement.  Placement of Gold sponsors will be assigned after November 20, 2022, and all Silver sponsors are restricted to IIAH members only, and will be assigned after December 24, 2022.  All booth-only purchase assignments will be made after December 24, 2022, according to membership status, date, and time.  Please review options below – incomplete applications will delay processing and order of booth placement.  Early Bird ends October 31, 2022.

Additional Badges & Lunches

Each booth receives (4) free exhibit hall badges for personnel working your booth (in addition to the Exhibitor Contact). These do not include lunch; however, lunch can be purchased for $35 per person and additional badges after the initial (4) are $15 each. After January 31, 2023, all additional badges are $20 each. These are billed separately by IIAH. Please enter all the following mandatory information for each person:

HID Trade Show Rules & Regulations

Booth Placement

IIAH Titanium Elite, Platinum Partners for Excellence, Gold Patron, and Platinum sponsors have priority booth placement.   Placement of Gold sponsors will be assigned after November 20, 2022, and Silver sponsors are restricted to IIAH members only, and will be assigned after December 24, 2022.  All booth-only purchase assignments will be made after December 24, 2022, according to membership status, date, and time.  All booths are considered “reserved” until booth payment is received, and booth assignment is made by IIAH.  Exhibitor will be notified in writing by IIAH. 


Payment and Cancellation

No reservations will be accepted without payment.  IIAH cannot accept partial payment.  Written notice of booth cancellation received prior to January 1, 2023, will incur a 25% processing fee, and issued a refund.  No booth refunds are issued after January 2, 2023.  All sponsorships are fully earned and nonrefundable due to the immediate marketing done by IIAH on behalf of the sponsor.  IIAH accepts all major credit cards and ACH payments online.  Fax payments may be made by faxing payment information to 832.324.3503.  If paying by mail, please make all checks payable to IIAH and mailed as follows:

Exhibitor Booth Move-in, Move-out, and Hours of Operation

Exhibitor registration opens at Noon on February 21, 2023.  All exhibitors must complete booth set-up no later than 7:00 PM on February 21, 2023.  No exhibit set-up is allowed on February 23, 2023.  The trade show exhibits are to be kept intact until the closing of the show at 4:00 PM.  No booth can be dismantled until the published closing time of 4:00 PM.  Failure to comply will result in (1) a $250 fine, (2) forfeit exhibiting rights in future shows for unpaid fines, (3) forfeit Early Bird pricing for future shows, and (4) early booth placement for future shows (regardless of membership or sponsorship level, booth selection will not be available until after December 24th).

Agreement

I hereby make application for exhibit space at the 2023 Houston Insurance Day. I have read and agree to abide by all conditions outlined under the Trade Show Rules and Regulations section of this contract. I understand that a penalty of $250 will be accessed if I dismantle my booth/s prior to 4:00 PM.
